Terms & Conditions

Please read these Terms and Conditions carefully before booking services with Raise The Roof DJs. By submitting a deposit or signed contract, you confirm that you have read, understood, and agreed to be bound by these terms. These terms apply to all services provided by Raise The Roof DJs, including DJ, MC, photo booth, Cold Sparks, uplighting, LED dance floor, and haze and moving head spotlight services.

Agreement and Acceptance

These Terms and Conditions ("Agreement") govern the relationship between Raise The Roof DJs ("Company," "we," "us," or "our") and the client ("Client," "you," or "your") for all entertainment services rendered at events in Orange County, Los Angeles, Riverside, and San Bernardino Counties, California.

This Agreement becomes legally binding upon the Client's payment of a deposit and/or execution of a signed service contract. The Client agrees to these terms on behalf of themselves and any co-signers or authorized parties involved in the event planning process.

Booking and Deposit

To secure your event date, a non-refundable retainer deposit is required at the time of booking. This deposit guarantees that Raise The Roof DJs will hold your date exclusively and will not accept other bookings for that time slot.

Your date is not confirmed until both a signed contract and the retainer deposit have been received by Raise The Roof DJs. Verbal agreements or email exchanges do not constitute a confirmed booking.

The deposit amount will be specified in your service quote and applied toward your total event balance. All deposits are strictly non-refundable and non-transferable under any circumstances, including cancellation, rescheduling, or force majeure.

Payment Terms

The remaining balance is due in full on or before the event date, unless a different payment schedule has been agreed upon in writing. Accepted payment methods include credit card, debit card, Venmo, and check. Cash payments must be arranged in advance.

Late payments may result in cancellation of services at the Company's discretion. Any outstanding balances not received by the due date may incur a late fee. All quoted prices are in US Dollars and are subject to applicable taxes.

For bookings made within 30 days of the event date, full payment may be required at the time of booking.

Cancellation Policy

All deposits are strictly non-refundable under any circumstances and regardless of the amount of notice provided. If the Client cancels the event, the following terms apply to any payments made beyond the initial deposit:

  • More than 30 days before the event: Any additional payments made beyond the deposit will be refunded in full.
  • 30 days or fewer before the event: All payments made beyond the deposit are non-refundable. No additional balance beyond what has already been paid will be owed.

Cancellations must be submitted in writing via email to [email protected]. Cancellations are not effective until acknowledged in writing by Raise The Roof DJs.

Rescheduling

Clients may request to reschedule their event date subject to the Company's availability. Rescheduling requests must be made in writing and are not guaranteed. A rescheduling fee may apply, and any difference in pricing between event dates will be due at the time of rescheduling.

If the new requested date is not available, the standard cancellation policy outlined in Section 4 will apply. Rescheduling does not extend, waive, or modify any other terms of this Agreement.

Services Provided

The Company will provide the specific services outlined in your signed service contract, which may include any combination of DJ entertainment, MC services, photo booth rental, Cold Sparks special effects, uplighting, LED dance floor, and haze or moving head spotlight packages.

Services may be performed by Raise The Roof DJs staff or fulfilled through one of our trusted and vetted partner providers. In either case, the Company remains responsible for ensuring that service quality meets our standards. The Company reserves the right to assign a qualified DJ or team member in the event of illness, emergency, or unforeseen circumstances.

Performance hours are those specified in your contract. Additional hours requested on the day of the event are subject to availability and will be charged at the applicable overtime rate.

Client Responsibilities

The Client is responsible for providing accurate event details including the correct venue address, ceremony and reception start times, parking instructions, and venue contact information. Any changes to event details must be communicated no later than 14 days before the event.

The Client agrees to ensure that Raise The Roof DJs personnel are treated respectfully throughout the event. The Company reserves the right to cease performance and vacate the venue if its staff is subjected to verbal abuse, harassment, or unsafe conditions, without refund of any fees paid.

The Client is responsible for obtaining any permits or approvals required by the venue or local authorities for sound amplification, special effects, or other services included in their package.

Venue Requirements

The Client or venue must provide adequate space, power access (standard 110V outlets unless otherwise arranged), and a stable surface for equipment setup. The Company requires a minimum setup time of 90 minutes before the event start time, unless otherwise agreed in writing.

For Cold Sparks, haze effects, LED dance floors, or other specialty add-ons, the Client is responsible for confirming that the venue permits such equipment prior to booking. The Company is not liable for services that cannot be performed due to venue restrictions discovered on the event day.

Parking for one or more Company vehicles must be available at or near the venue at no cost to the Company during load-in, the event, and load-out. If parking fees apply, they will be passed on to the Client.

Music and Requests

The Client is encouraged to submit a do-not-play list and a list of preferred songs or genres in advance of the event. The DJ will make every reasonable effort to honor Client requests while reading the room and maintaining event flow.

The Company cannot guarantee that every requested song will be played, particularly when requests fall outside agreed-upon genres, conflict with the do-not-play list, or would disrupt the natural energy of the event. The DJ's professional judgment in curating the experience is part of the service provided.

Raise The Roof DJs operates in compliance with applicable music licensing laws. The Client acknowledges that venue performance licensing (such as ASCAP, BMI, or SESAC) is the responsibility of the venue, not the Company.

Equipment and Setup

Raise The Roof DJs provides all necessary DJ and entertainment equipment as specified in the service contract. The Client and/or venue must not tamper with, move, or operate Company equipment without explicit permission from a Company representative.

Any damage to Company equipment caused by the Client, their guests, or venue staff will be billed to the Client at the cost of repair or replacement. The Company carries its own general liability insurance and is not responsible for pre-existing venue damage.

In the event of equipment malfunction, the Company will make every reasonable effort to resolve the issue with backup equipment. The Company's liability for technical failures is limited to a pro-rated refund of service fees for any portion of the event where services could not be rendered.

Photo Booth Services

Photo booth packages include the hours specified in the service contract. The booth requires approximately 60 minutes for setup and 30 minutes for breakdown. A dedicated space of at least 8x8 feet with access to a standard power outlet is required.

Standard photo booth packages include props, a custom print template, and a digital photo album delivered within 2 business days of event completion. The Client is responsible for downloading or saving their gallery, as albums are stored for a defined period following delivery.

Backdrops are not included in standard photo booth packages. Backdrop options may be added for an additional fee and must be requested in advance. Please confirm your backdrop preference when finalizing your contract.

Damage to photo booth equipment or props caused by guests will be billed to the Client.

Add-On Services

Add-on services including Cold Sparks, uplighting, LED dance floor, and haze or moving head spotlights are subject to the same payment and cancellation terms as primary services. Each add-on requires confirmation of venue compatibility, adequate power supply, and ceiling height where applicable.

Cold Sparks effects produce a cold spark fountain effect that is non-pyrotechnic and low-heat. While they are safe for most indoor environments, the Client is solely responsible for confirming approval with the venue and any applicable fire marshal requirements prior to the event. The Company will not proceed with Cold Sparks if venue approval cannot be confirmed on-site.

Uplighting colors and placement will be determined in coordination with the Client in advance. Changes to color or positioning on the day of the event are subject to time and setup constraints.

Limitation of Liability

Raise The Roof DJs shall not be held liable for any indirect, incidental, consequential, or punitive damages arising from the provision or failure to provide services, including but not limited to emotional distress, loss of enjoyment, or disruption of event proceedings.

The Company's total liability to the Client for any claim related to services provided under this Agreement shall not exceed the total amount paid by the Client for those services.

The Company is not responsible for events, conditions, or outcomes beyond its reasonable control, including but not limited to venue restrictions, power outages, acts of nature, or actions of third-party vendors.

Force Majeure

Neither party shall be held in breach of this Agreement for failure to perform due to circumstances beyond their reasonable control, including but not limited to natural disasters, acts of government, public health emergencies, civil unrest, or other unforeseeable events that make performance impossible.

In the event of a force majeure, the Company will make a good-faith effort to reschedule services at no additional charge, subject to availability. If rescheduling is not possible, the Company's liability shall be limited to a refund of any portion of fees paid beyond the non-refundable deposit.

Media and Photography

By booking with Raise The Roof DJs, the Client grants the Company permission to photograph or video record portions of the event for internal review, staff training, and promotional use across the Company's website and social media channels, including Instagram (@raisetheroofdjs).

Photos or videos will not include personally identifying information (full names, addresses) without explicit written consent. If the Client does not wish to have their event used for promotional purposes, they must notify the Company in writing prior to the event date.

The Company retains ownership of all original photographs and videos taken by its staff. Clients may request copies of promotional media in which they appear.

Governing Law

This Agreement shall be governed by and interpreted in accordance with the laws of the State of California. Any dispute arising from this Agreement shall first be attempted to be resolved through good-faith negotiation between the parties.

If a dispute cannot be resolved informally, the parties agree to submit to mediation in Orange County, California before pursuing any legal action. The prevailing party in any subsequent legal proceeding shall be entitled to recover reasonable attorney's fees and costs.

If any provision of this Agreement is found to be unenforceable, the remaining provisions shall continue in full force and effect.
